Popcultr Marketing Summit

1. Who we are

The Popcultr Marketing Summit is run by Popcultr Ltd, trading as Experience12, registered in England and Wales, company number 08346770, registered office 2nd Floor, 15 Greek Street, London, W1D 4DP.

We are the data controller for the information described in this notice. We are registered with the Information Commissioner’s Office under reference ZB626051. You can reach us at info@popcultr.events.

2. What this notice covers

This notice covers information we collect when you buy a ticket for, register for, or attend the Popcultr Marketing Summit, and when you contact us about it. It also covers the cookies we set when you visit popcultr.events, which are described in clause 3a. It is separate from the privacy policy covering the Experience12 website, which deals only with enquiries made through that site.

3. What we collect

When you buy a ticket we collect:

We do not collect or hold your card details. Payment is handled by Ticket Tailor and its payment provider.

If you attend, we also hold a record of your attendance, any recording of sessions you take part in, and any photographs or film in which you appear.

3a. Cookies and the website

Our website, popcultr.events, is hosted on HubSpot. When you visit it we set a small number of cookies. Cookies are small text files stored on your device that let a site remember things between pages and visits.

We use cookies only to understand how people find and use the site, so that we can improve it. We do not use advertising or marketing cookies. We do not run Google Analytics, advertising pixels or social media trackers, and we do not sell or share your browsing data.

The cookies we set are:

If you tell us whether you accept or reject cookies, we store that choice so that we do not have to ask again on every page.

Some parts of the site are served by other companies, which may set their own cookies or receive your IP address. These are HubSpot, which hosts the site and provides the analytics above; Google Fonts, which supplies the typefaces and receives your IP address in order to do so, but sets no cookies; Canva, which powers an embedded viewer and may set its own cookies when it loads; and Ticket Tailor, which handles ticket sales and sets its own cookies when you open the ticket window or reach the checkout, where its own privacy notice applies.

When you first arrive you can accept or reject cookies that are not essential. Rejecting is as straightforward as accepting. If you want to change your choice later, clear this site's cookies in your browser and the banner will ask you again. You can also block or delete cookies in your browser settings at any time. Blocking analytics cookies will not stop you using the site or buying a ticket.

Our lawful basis for setting analytics cookies is your consent. Cookies that are strictly necessary to make the site work are set without consent, as the law allows.

5. Access requirements

We do not provide food or drink and we do not collect dietary information.

Accessibility follows the arrangements in place for MCM London Comic Con. MCM runs its own free access registration covering accessible entry, special assistance, the quiet room and the Essential Companion pass. If you need any of that, register with MCM directly. We do not collect that information and it does not come to us.

If you tell us about something specific to the summit room itself, we will pass on what is necessary to the venue so that it can be met.

Information about a health condition or disability is a special category of personal data and gets extra protection in law. We hold it only on the basis of your explicit consent, only for as long as we need it to make the arrangements, and we delete it 30 days after the event. You do not have to tell us anything, and you can withdraw your consent at any time by emailing info@popcultr.events, though we may not be able to act on a withdrawal made on the day itself.

6. Sessions, recording and the report

Sessions at the summit are recorded and transcribed. We may publish a report drawing on what was said. Contributors are attributed by name and role. Comments made from the floor are not attributed without asking first.

We rely on our legitimate interests in producing an accurate record of the discussion. We have balanced that against your interests, which is why the summit is described as recorded before you buy, why the terms and conditions say so, and why you can ask for something you said to be withdrawn before publication by emailing info@popcultr.events.

We keep recordings and transcripts indefinitely, as a permanent record of what was discussed at each edition of the summit.

7. Photography and film

We photograph and film the summit for marketing. You may appear in that material. We rely on our legitimate interests in promoting the event. If you would prefer not to appear, tell us at info@popcultr.events before the event, or speak to a member of the team on the day, and we will do what we reasonably can.

8. Who we share your information with

We do not sell your information to anyone.

9. Who we do not share it with

We do not share your details with sponsors or partners. Sponsors receive aggregate information about the make up of the room, not individual attendee details.

We do not circulate an attendee list. Your name, organisation and job title are not shared with other attendees.

10. Where your information is held

Some of the suppliers we use hold data outside the United Kingdom, including HubSpot, which is a United States company. HubSpot is certified under the UK Extension to the EU to US Data Privacy Framework, so the transfer is covered by UK adequacy regulations. Ticket Tailor holds data on servers in Ireland, within the European Economic Area.

Under UK data protection law you have the right to ask for a copy of the information we hold about you, to have inaccurate information corrected, to ask us to delete it, to object to or restrict how we use it, and to ask for it in a portable form. Where we rely on your consent, you can withdraw it at any time.

To exercise any of these rights, email info@popcultr.events. We will respond within one month.

13. Complaints

If you are unhappy with how we have handled your information, please tell us first at info@popcultr.events so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk, or on 0303 123 1113.

14. Changes to this notice

We may update this notice. Any change will be posted on this page with a new date at the top. This version was published on 24 August 2026.

14a. Contributors

This notice covers people who attend. If you speak at the summit as a panellist, moderator or keynote, we also hold your biography and photograph, and we use them in the programme, on the website and in marketing for the event. We will tell you separately how that information is used.
